Travel Bursary Terms and Conditions

If you accept a travel bursary from Charity Digital Trust (“Charity Digital”) it will be on the understanding that you have agreed to the following general terms and conditions: 


Entitlement 

 

1. Charities may apply for a travel bursary up to the values in the table below based on the length of the journey to the event. This payment will be irrespective of the face value of the document used as proof of travel but solely based on the table values below (whether more or less than the voucher value. The length of the journey is based on the distance between the starting point of the journey and the event (#BeMoreDigital 2023) at the Novotel West (Hammersmith):

 

150+ miles               £100

100-149 miles          £75

50-99 miles              £50

30-49 miles              £25


2. Applicants may travel by private or public transport.

 

3. Charities may submit applications for multiple individuals from their organisation to receive travel bursaries subject to:

-   The total claimed by any single charity may not exceed £200.  Any claims above this above will be capped accordingly.
-   If traveling by car from the same area of the country, individuals will be expected to share and only one payment for this means of transport will be covered.

 

4. You may not apply for a travel bursary if you are buying a discounted ticket. Bursaries apply to full-priced tickets only.

 

Application and Payment Process 

 

1. Applicant will be expected to purchase a ticket immediately after applying for the travel bursary

 

2. If a conference ticket is not purchased within the 7 working days, Charity Digital reserves the right to cancel your bursary application.

 

3. You further certify that: 

-    You are traveling from the location specified on your application form
-    You will use the bursary to fund your travel costs for attending the conference
-    You are not in receipt of any other source of subsidy funding for this travel or conference ticket discount

 

4. You will be required to submit printed proof of travel to a nominated Charity Digital representative at the conference.  Charity Digital may retain this printed proof for our records. This proof will be 1) a receipt for public transport or 2) a petrol receipt for the day of travel from the departure point claimed.

 

5. The bursary will not be paid until you have submitted your bank details form and a copy of a bank statement/letter no older than three months and any other specific requirements detailed in the section above. This must be completed by 9 April 2023.

 

6. Bursaries will be paid to successful applicants who have met the conditions and completed all the appropriate paperwork. No claims will be processed after 30 April 2023.

 

7. We reserve the right to withhold bursary payment if the claim proves to be based on false or misleading information.

 

Confidentiality 

 

1. We reserve the right to make public the name of your organisation and the broad nature of our offer. We will not, however, disclose the detail except in confidence to our advisers and as required by law and/or by regulators.

 

2. We might use the personal information provided by you in order to conduct appropriate identity checks. Personal information you provide may be disclosed to a credit reference or fraud prevention agency, which may keep a record of that information

 

Data protection

 

1. We will use the information you give us during the application process and during the lifetime of any funding for administration, analysis and research purposes. We recognise the need to maintain the confidentiality of vulnerable groups and their details will not be made public in any way, except as may be required by law.
