We explore how charities can use project management tool monday.com to make managing fundraising streams easy and cost-effective
Charity professionals wear lots of different hats. They are no strangers to juggling multiple projects and finding ways to deliver more impact with fewer resources, particularly recently during an uncertain economic climate.
But they don’t have to juggle everything alone. If the past few years has taught the charity sector anything, it’s that digital technology can play an incredible supporting role to charity work, helping teams save time, reach more people, and deliver more services to those who need them.
Some charities are more digital than others. Some have yet to take advantage of the digital tools available. And they don’t have to break the bank.
For example, monday.com is a cloud-based project management platform where teams can build custom workflows and plan, run, and track their projects and everyday work.
As Alex Jones, Nonprofit Customer Success Manager at monday.com, explained in his session at Charity Digital’s 2025 Digital Fundraising Summit (DFS): “Basically any kind of work you need to do for your charity, you can do it in monday.com.”
Monday.com is available to eligible charities for free, for use with up to 10 members. Larger charities can purchase more seats at a 70% discount. There are already 25,000 charities in monday.com’s nonprofit programme, taking advantage of the flexible, customisable platform to streamline their work. You can find out more information about monday.com’s nonprofit programme here.
In this article, we’re going to explore just two practical applications of monday.com for charities: grant management and donor management. We’ll include some of the practical tips shared by Alex in his DFS session – you can find the slides for his session below.
Grant management involves a lot of spinning plates. Many charities rely on grant funding to support their services and work with many funders to deliver maximum impact. Each funder comes with different criteria, different expectations and without the right tools in place, managing it all soon becomes unwieldy.
Monday.com provides a centralised place for charities to manage all their grants, from grants submitted to grants awarded. The platform allows charities to track every stage of their grant pipeline, assigning tasks, monitoring progress, and becoming a hub for all data associated with grants. You can store and edit important documents so they’re always up-to-date and accessible.
Organisations can also use monday.com to automate some of their admin tasks, saving them time they can direct to more applications. As soon as charities add a new grant, monday.com will automatically populate with tasks that commonly need to be carried out as part of the application process, such as creating a letter of intent or financial report.
Essentially, monday.com gives organisations an overview of how things are looking – the amount of money raised through grant funds, how many applications have been sent off, and how many have been successful.
Pulling this information together manually takes time and energy but monday.com compiles it automatically, giving charities the data they need to evaluate their performance and manage their grant funds more effectively.

Creating a good supporter experience for donors requires looking beyond a one-size-fits-all approach. Charities have lots of different types of donors, with different motivations, preferences, and needs. Tailoring campaigns to meet these needs is crucial for boosting fundraising, making it easier for supporters to donate, and providing a seamless experience that will encourage them to return in the future.
Of course, donor behaviour changes over time. Certain campaigns perform well with different donor groups. Charities must keep an eye on trends and activity to ensure that their fundraising efforts are still performing effectively.
Alongside grant management, monday.com also provides charities with a handy Donor Management template that manages and reports on all donor data, contact and donations details, and more.
With monday.com, charities can track, manage, and customise unlimited donor records to support smarter decision-making. It can capture meetings, set up calls and emails, and track interactions to keep donors engaged. Charities can automate emails corresponding to due dates and notify teams when tasks have been completed, allowing them to get ahead. Clear reports also give charities the updates they need to keep their fundraising on track and fit-for-purpose.
No more complicated, static spreadsheets – monday.com manages it all, “combining all the benefits of a CRM system with the unique identity of a fundraising tool”.
